CHIRPS Operations: Setting Up Automatic Cancellations in Your MMS via Welld

Welld’s ability to automatically cancel memberships or packages when a member becomes ineligible for benefits depends on the permissions provided by each Member Management System (MMS).

Below are the current Member Management Systems that Welld integrates with, along with a description of what level of ability Welld has to cancel and what is needed to enable that feature. 

If you would like to enable Welld to terminate memberships or packages in your MMS, please contact support@welldhealth.com and provide the necessary information below based on you MMS:

ABC Customers:

ABC has specific settings that must be enabled for Welld to terminate members when they are no longer eligible. Please ensure the following: 

  • Activate Online Cancels
    • If online cancels are not already activated for your club group, please fill out the ABC Fitness Solutions MICO Online/App Cancellation Form outlining the cancel parameters (e.g. a 30 day notice required, etc.). Your ABC rep should be able to provide you with this form and you will send it back to your ABC rep to process. (Once active, this will automatically show in MICO, but not the app.)
  • A cancel reason code is available via the API, most clubs have “Other Reason” available by default
  • A “cancellation fee” of $0 will be set to default for in-club DataTrak cancels. Staff can override this amount if needed.

Once the settings are updated and you are comfortable with how Welld will handle the terminations in ABC, please provide a list of all payment plans Welld has permission to cancel. This should be any plan you have active insurance members on - including older payment plans not being currently offered.

For example, if the old agreement was called Optum2024 and now the agreement is OnePass2025, please give us permission to terminate both. This will result in a higher number of successful cancellations from the Welld side and less manual work for the team.

We recommend including only plans that are fully covered by your benefit provider and not including any upsell memberships that you may want to handle differently.

If you decide to move forward with the required settings, please email support@welldhealth.com with your cancel reason code and the list of the payment plans Welld is allowed to terminate.

Mindbody Customers:

Welld has permissions to automatically expire the package that was originally attached when a member enrolls through the Welld verification link. This cancellation feature is enabled automatically. Please email support@welldhealth.com with any questions about this functionality.

ClubReady Customers:

Welld can expire the package that was originally attached when a member enrolls through the Welld verification link. All we need is permission to do so and a CancellationReason chosen from the list below. Note Custom Cancellation Reasons can not be used via the API. Please email support@welldhealth.com with your request to enable this functionality.

Club Automation Customers:

Welld can terminate the membership for any UserGroups we have permission for. All we need is permission to do so and a list of all UserGroupIDs that we are allowed to terminate. Please email support@welldhealth.com with your request to enable this functionality and the list of allowed UserGroups we can terminate.

 

Mariana Tek Customers:

Welld can expire the package that was originally attached when a member enrolls through the Welld verification link. All we need is permission to do so and the Membership/Package ID in which can be found in the url when creating/editing a package . Please email support@welldhealth.com with your request to enable this functionality.
